E-Mail System Changes to @ComSouth Customers Only
March 6, 2008 these changes must be implemented for E-Mail to work


We have been upgrading our E-Mail server to bring you more enhancements, but with those enhancements bring change.  We have posted below the most common E-Mail client software and variants in use today.  Each of these clients are created in step by step screen shots to help you set them up or make changes.  You will need to substitute "yourname" for your E-Mail address in most cases  (everything before the @).  This is only for @comsouth.net customers.  We changed over the @cstel.net ones last month.  Each of these examples are in PDF format. If you do not have adobe on your computer, it can be downloaded from www.adobe.com .  The reader is a free program to read PDF (Portable Document Files).  These are the "Full Setup" instructions, in most cases the only changes you need to make are in the last page.

Eurdoa has to be at version 4.3.2 for it to work.  Click on the Eudora for their site.

If you have a MAC click on the "GOT MAC" on the left hand side for checklist and link to MAC.

For those using "Incredimail" you are on your own. It is associated with spyware and will not be worked on by our consultants.

For all others and those who are familiar with the E-Mail software, below are the 2 changes:

The only 2 changes that need to be made in other clients are:

After your account name you need to include:  @comsouth.net  (Ex: yourusername@comsouth.net)

Check the box that indicates "My server requires authentication(not SSL, just authentication)

A few weeks back in preparation for this move we moved to 2 E-Mail servers: Incoming and Outgoing.  For those who had the same name in for both, they had some problems sending. 
They need to be as follows:

Incoming (pop3):  mail.comsouth.net
Outgoing (SMTP): smtp.comsouth.net

It is our hope that by going to this new server and requiring authentication we will cut down on the SPAM, e-mail spread viruses, and the constant battle with Blacklisting.  For more information on this subject, please check our the spam section on the menu to the left. This new service also incorporates "GreyMail" rather than logging into a separate "postini" server to check for false positive spam, it's all in one place.  It is a new webmail interface so test it out after March 6, 2008  webmail.comsouth.net .  You also get more E-Mail space to accommodate the photos and other larger files that get sent.  For those with laptops, you may be able to "Roam" with one E-Mail client and not be forced to use Webmail when out of town.  There is also a 10 Meg "N" drive feature to upload those personal files you may want to get from anywhere that has internet access. 

With the better spam filtering, more space, roaming capabilities, and more, I feel these changes will be welcomed with it's first use.  All these features have all been asked for and we have responded.

Greymail Help


Introduction

Greymail is the result of the virus and spam filtering options. Whenever the Virus Scanner or the Spam Filter catches a message that is identified as a virus or as spam, they will re-direct the message to Greymail. Greymail is essentially a quarantine area to contain these undesirable messages.

All Greymail is configured to automatically delete after a period of 14 days or less, depending on the user configurable setting. You may delete messages, forward messages, read messages, and configure a list of users that you always want to receive mail from.


Spam Scoring

Every email you receive passes through the Spam filtering system, which analyzes the message, looking for certain traits normally found in Spam. There are hundreds and hundreds of traits the filtering system scans for; all capital letters in the body of the message, an Unsubscribe link, no name in the From: line are just a few. If only one of these traits is found in a message it will be assigned a low Spam score but if a message has many of these traits it will be assigned a higher score. This is how it is decided whether a message should be sent to your Inbox or to Greymail. The Spam Threshold point scale that you can adjust in your Greymail Options sets the bar for the delivery to your Inbox or Greymail (Spam repository).

When in Greymail, click the View Message Header icon. The line that reads X-X5: Spam: True; 6.4 / 5.0 means that this message scored a 6.4 because of the Spam traits that were found and your Spam Threshold is set to 5.0, so this message was sent to Greymail rather than your Inbox. If you find that legitimate email is being quarantined in Greymail check this X-X5: Spam: True line and tweak your Spam Threshold setting until the messages clear filtering.

Spam Confidence

The Confidence Threshold of your Greymail Options lets you decide at what score a message should not appear in the "Normal" confidence tab of the message list. Any message that scores above what you have set in the Confidence Threshold should rarely need review, and will be listed under the "High" confidence tab. All messages, regardless of score, will be shown together under the "Both" confidence tab.


Functions:

Deleting a message: To delete a message or a collection of messages, select the checkbox to the left of each message, then hit the delete button at the top of the screen.

Viewing a message: To view a message, click on the subject. If the message has no subject, you may click on the envelope to the right of the date field to pull up the message. This will launch a new window. If the message contains attachments or inline images, it will not display for security reasons. In this case, if the message is spam, you can forward it on to your normal email client and read it. Headers are not included in the message display. In order to view headers, click on the header icon next to the envelope. To view a message with unsafe images (web bugs) click on the magnifying glass.

Forwarding a message to your normal email account: To forward on a message, simply check the checkbox to the left of it, then hit the forward button at the top of the screen.

Allowing mail from sender: To allow messages to pass through your spam filter, you can select the message by checking the checkbox to the left of the message, then hit the 'Allow Sender' button at the top of the page. This will add the sender's email address to the white list which is a list of users that you will always receive mail from, regardless of whether they are spam or not.

Adding, Editing, or Removing users from your white list: To add, edit or remove users from your white list, select "Options", then add, edit, or remove from the list. In order to add multiple addresses, add one, then save, then another free input box will appear at the bottom of the list.

You can use wildcards - for example, to block everything from "my-example-domain.com", simply put *@my-example-domain.com on your blacklist. You can whitelist everyone from that domain by placing the same thing on the whitelist.

Statistics: Shows the number of messages which have been placed into your greymail on a month-by-month basis.
